In short: the business you applied to owns your application; HireKeepers stores it for them, encrypts the sensitive parts, never sells it, never contacts you, and deletes what is no longer needed.
HireKeepers (hirekeepers.com) is software that cleaning businesses use to hire and onboard independent cleaning professionals. When you apply to a business through HireKeepers, that business is collecting your information and decides what happens with it. We hold it for them. This policy explains what we store and how we protect it.
What is collected — only what the business asks on its form: your name and phone, and depending on the business, your email, city, mailing address, date of birth, your answers, an optional short video, your references and their phone numbers, your work preferences, and later the forms you fill out and sign (which may include a Social Security number or bank details if the business asks for them), your orientation progress and quiz results, and the notes the business keeps about you.
How it is used — to run that business’s hiring: reviewing your application, calling your references, running orientation, keeping the paperwork it needs to work with you. HireKeepers itself never contacts you and never uses your information for anything else.
Who sees it — the business owner and the team members they invite. Team members cannot open signed documents. HireKeepers staff can see account records when helping the business with a problem, and never open your signed documents or your Social Security or bank numbers.
Sensitive numbers — signed forms that carry Social Security or bank numbers are encrypted before storage with a key kept outside the database. On screen, only the last four digits show. Every time the business opens such a document, the opening is logged.
Your video — stored privately and shown only to the business you applied to. If you do not go on to work with the business, your video is deleted automatically after 12 months.
Your rights — ask the business you applied to for a copy of your information, to correct it, or to delete it. They can delete everything about you in one step. If you cannot reach them, write to hello@hirekeepers.com and we will help. Residents of California and other places with privacy laws have rights to access and deletion; this is how to exercise them.
References — if someone lists you as a reference and sends you a scorecard link, your answers are shown to the business and kept confidential from the applicant.
We store your name, email, hashed password, settings, logo, your applicants’ data described above, and a log of important actions (logins, settings changes, file and document views). We email you only about your own account and your own hiring: alerts, a daily digest, login codes, password resets, invites. Every notification has an off switch. We never share your customer data with anyone except the providers below.
We do not use advertising trackers or analytics cookies.
Two cookies, both for logging in: a session cookie that keeps an account holder signed in, and an optional “remember this device” cookie for two-step login. Applicant pages set no cookies. The checklist on the shared planning page remembers ticks in your own browser only.
HTTPS everywhere; each business’s data is walled off from every other; passwords are stored as one-way hashes; failed logins are rate-limited; two-step login is on for owners; sensitive documents are encrypted at the application layer; every login, settings change and document view is logged; the database keeps point-in-time backups for 30 days. If something ever goes wrong that affects your data, we tell the affected businesses promptly and honestly.
HireKeepers is for adults hiring adults. Applicants under 18 are flagged to the business, which decides how to proceed under the laws that apply to it.
If this policy changes in a way that matters, we update the date above and tell account holders inside the app. Questions or requests: hello@hirekeepers.com.
